Conference software that records who was in the room

Sessions, speakers, tracks and attendee agendas, with attendance recorded per session rather than per event — so the programme report is worth reading and a certificate can honestly be refused.

A conference is a registration event wrapped around a programme, and most platforms are good at exactly one of those. The registration side is mature and the programme is a published timetable — which means at the end, the only number anybody has is how many people came to the building.

evenclo records attendance per session. Everything a conference actually needs afterwards follows from that.

The programme is a set of records

Sessions have times, rooms, tracks and speakers. Speakers have biographies and photographs, attached to the sessions they give. The website reads it, the attendee app reads it, and a late substitution is one edit rather than a PDF, a booklet and an email that disagree by the second morning.

Attendees build their own agenda

Delegates pick the sessions they intend to attend, in the app or on the site. That tells you which rooms will be uncomfortable before the day rather than after it, and it gives you an agenda to remind them of on the morning.

  • Live polls and Q&A during a session, with results on screen
  • Room capacity, so a workshop stops accepting sign-ups when full
  • Tracks, so a delegate follows one thread across two days
  • Session-level check-in as well as door check-in
  • Arabic and English programme from the same records

The door, and the rooms

Check-in scans in the browser on any phone, resolves in under a second at the desk, and holds its queue on the device when the wifi fails — which in a conference centre it will, at exactly nine o’clock when everyone arrives at once. Badges print per attendee type, so a speaker and a delegate print differently without anyone laying out a file the night before.

What you can honestly claim afterwards

A survey aimed only at the delegates who attended a session. A certificate issued only to those who met the attendance rule, with a defensible answer when an accreditation body asks how you know. A report on which track to expand next year, bucketed in the venue’s own clock so a two-day event does not report its first two hours on the wrong day.

Academic and medical conferences

Abstract-driven programmes, poster sessions, parallel tracks and accreditation requirements all fall out of the same records. The thing these events usually need most is the boring one: a defensible attendance figure per session, in the venue’s own clock, that an accrediting body will accept without asking how it was collected.

Common questions

Can evenclo track attendance for individual conference sessions?

Yes. Attendance is recorded per session as well as per event, which is what the programme report, targeted surveys and attendance-gated certificates all depend on.

Does conference check-in work if the venue wifi fails?

Yes. Scans are queued on the device and sync when signal returns, so the desk keeps clearing the queue.

Can delegates build a personal agenda?

Yes, in the app or on the event site, which also shows you which rooms will be over-subscribed before the day.
